Job Description
We are seeking a detail-oriented and organized Purchasing Coordinator to manage our vendor ordering process and ensure the timely and accurate procurement of materials for our kitchen, flooring, and showroom projects. The ideal candidate will be proactive, deadline-driven, and committed to maintaining high standards in both vendor communication and internal coordination.
Key Responsibilities:
- Stay up to date on all vendor ordering procedures and requirements.
- Create purchase orders (POs) for new kitchen orders, hardware, countertops, tile, flooring, job completion items, warranties, literature, samples, and showroom displays.
- Ensure timely submission of POs and accompanying paperwork to vendors. Orders submitted before 3 PM will be processed the same day; orders submitted after 3 PM will be processed by the end of the next business day.
- Verify acknowledgments for accuracy in terminology, specifications, and pricing.
- Adjust cost and sales pricing per acknowledgments, keeping margin guidelines in mind; report pricing concerns to the designer and supervisor.
- Attach approved acknowledgments to both the PO and sales order.
- Track and follow up on the status of all open POs to ensure timely delivery.
- Maintain updated cabinet and miscellaneous vendor lists.
- Manage the sample inventory and sample log for tracking.
- Resolve product shortages, missed or late deliveries, and address service issues such as damaged goods.
- Communicate with vendors to improve lead times and reduce costs when possible.
Qualifications:
- High School Diploma or GED required; Associate’s Degree preferred.
- Experience in purchasing, supply chain, or a related administrative role preferred.
- Proficient in Microsoft Office Suite (Word, Excel, Outlook).
- Strong communication skills—both written and verbal; must be comfortable with email and text correspondence.
- Excellent organizational and time management skills.
